Working as a team
How several people review the same candidates in Truffle without overwriting each other.

A Truffle account holds your whole hiring team. Each person reviews candidates on their own, and Truffle rolls their reviews up once they have submitted. Every plan includes unlimited team members, with no per-seat fees.
Roles
Every person in your account has one of four organization roles. The role controls what they can see and change across the account.
- Owner: everything, including inviting other Owners and Admins.
- Admin: runs the account day to day: settings, team, billing, integrations and API keys. An Admin invites Members and Viewers.
- Member: creates positions, reviews candidates, changes their status, shares and exports.
- Viewer: can look at positions and candidates and share them, but cannot review or change a candidate’s status.
You set a person’s role in Settings, under Team. The full breakdown is on Roles and permissions.
Inviting teammates
Owners and Admins invite people from Settings, under Team. Enter the person’s email, pick their role and send the invitation. They get an email to accept and create their account, and the link lasts 7 days. Invite your team and set roles shows each step.
The same screen lists your team. From there you can change a person’s role or remove them.
Independent reviews
Each candidate’s profile has an evaluation panel with three sections.
- Your Evaluation: your own star rating, your recommendation, and your scorecard ratings if the position has a scorecard.
- Team: the roll-up of everyone’s reviews.
- Notes: the team’s internal notes on the candidate.
Your recommendation is one of Move forward, Unsure or Decline. Your star rating is yours alone. No one else can change it, and you cannot change theirs.
For Members, the Team section stays locked until they submit their own review. This keeps each review independent of what the rest of the team said. Owners and Admins can see it first, under a banner that says You're viewing as an admin. Once you have submitted, it shows how recommendations are split, the average star rating, and the average for each scorecard criterion.

Scorecards
A scorecard is a set of criteria for a position that every reviewer rates candidates against. Set one up in the position’s settings under Reviews & scoring, or in the Review step when you create an interview. It starts with four suggested criteria you can keep, delete or add to, up to 10, and each is rated on 1 to 5 stars. With a scorecard, your overall rating is worked out from your criterion ratings.
Each reviewer gives every criterion a star rating. The Team section shows the average per criterion, so you can see where reviewers agree and where they differ. Once criterion ratings have been submitted, the scorecard locks, so the criteria cannot change after reviews have started. Use scorecards and structured reviews shows each step.
Notes
Anyone on the team can leave an internal note on a candidate. Notes can be edited, deleted and replied to. Admins can edit any user’s notes.
Seeing where reviews stand
- On the candidate list, the Rating column shows each candidate’s rating.
- In Magic Review, a review status indicator shows the team’s progress on each candidate as you move through the list.
- On Home, the
Team activityfeed shows what teammates have done, such as dispositions and ratings. Click an event to open that candidate.

Sharing with people outside Truffle
Not everyone who weighs in on a hire needs an account. You can send a secure, read-only link to a candidate’s profile from Share & export.
Pick the audience first: Hiring team, External share or Interview record. Each sets what the link includes, and you can adjust it before you create the link. Links can expire after 7, 30, 75 or 180 days and can carry a password. Contact details and the resume file are left off unless you turn them on. Interview prep notes are marked Internal only and cannot go on an external or record link.
A candidate can have several live links at once. You can copy or revoke each link on its own. Share a candidate shows each step.
What it does not do
- A Member cannot see the Team roll-up for a candidate until they have submitted their own review. Viewers cannot review.
- Star ratings are not shared. One reviewer cannot overwrite another’s rating.
- Scorecard criteria cannot be changed once criterion ratings have been submitted.
- Only Owners and Admins invite people to the account, and Admins invite only Members and Viewers.
- Members and Viewers cannot open billing, integrations or team settings.
- Share links are read-only. Interview prep notes cannot be put on an external or record link.
